Service & Billing Policy

1. Scope

This policy explains how Maple REO Advisors LLC quotes, invoices and, where appropriate, credits professional service fees. It supplements the commercial terms in each client's signed engagement agreement, which prevails in the event of any conflict.

2. Quotations and approvals

All work is quoted in writing before it begins. Repair work is quoted line by line with measured quantities and unit rates. No repair work is carried out without written client authorisation, and any variation exceeding five per cent of the approved scope requires a further written approval before the cost is incurred.

3. Invoicing

Service fees are invoiced monthly in arrears. Repair work is invoiced on completion, or on agreed progress milestones where the approved scope exceeds $10,000. Every invoice itemises the asset, the loan or reference number, the line items performed and the supporting photographic evidence reference.

4. Disbursements

Third-party disbursements — municipal fees, permit costs, utility deposits, constable and filing fees — are passed through at cost with supporting documentation attached. We apply no markup to disbursements.

5. Payment terms

Invoices are payable within thirty (30) days of the invoice date. Amounts outstanding beyond sixty days may attract interest at 1% per month or the maximum permitted by Massachusetts law, whichever is lower.

6. Queries and credits

If you believe an invoice is incorrect, notify us in writing within thirty days of the invoice date, identifying the line items in question. We will suspend collection on the disputed amount while we investigate, and we aim to resolve every query within ten business days.

Where work was not performed, was performed outside an approved scope, or fell below the standard described in our engagement agreement, we will credit the relevant amount in full. Where a deposit has been taken for work that is subsequently cancelled before mobilisation, the deposit is refunded less any costs already committed to third parties, itemised for you.

7. Cancellation

Either party may terminate a standing engagement on thirty days' written notice. Work already performed and costs already committed remain payable. On termination we transfer all photographic evidence, reports and property documentation for the affected assets at no charge, and return keys and access devices within ten business days.
